Minimum requirements
Graduate in Commerce or Arts with proven experience in office administration, facility management, and vehicle management.
12+ years of relevant experience in Administration, Facilities, or Office Operations at a senior level.
Strong knowledge of office management procedures and basic accounting principles.
Excellent organizational, leadership, and stakeholder management skills.
Excellent communication and interpersonal skills.
Fluency in English, Kannada, and Hindi (spoken, written, and reading) is mandatory.
Strong working knowledge of MS Office and Excel.
High attention to detail with strong problem-solving capabilities.
Key Responsibilities
Plan, coordinate, and oversee general office administration activities in line with company policies and procedures.
Manage official correspondence and maintain effective relationships with landlords, service providers, and administrative vendors.
Supervise housekeeping operations, allocate duties, and ensure cleanliness, safety, and upkeep of office premises.
Oversee company vehicle management including driver coordination, movement planning, and preventive maintenance.
Ensure timely submission of attendance data and coordinate with HR and payroll teams.
Manage end-to-end official travel arrangements including train, flight, and hotel bookings.
Demonstrate strong working knowledge of online travel and hotel booking portals.
Identify, evaluate, negotiate, appoint, and manage vendors for office supplies, printing, stationery, and related services.
Ensure compliance with contractual terms, service-level agreements, labor laws, and applicable legal requirements.
Liaise with local government and statutory authorities such as BESCOM, Telecom providers, Panchayats, and BBMP.
Maintain healthy employee relations and act as a key point of contact during emergencies or critical situations.
